Before you start

You must be a Grata account admin to set up a new integration. Your Grata plan must include DealCloud.

If Grata shows that DealCloud is not included in your plan, contact your Grata account team to enable it. If you need Grata admin access, contact the Grata customer success team.

Prepare:

  • Your DealCloud Base URL, Client ID, and API Key.

  • A DealCloud user profile with API capabilities.

  • LastActivityDate as a default field on the company and contact objects.

Connect DealCloud

  1. In DealCloud, select your initials.

  2. Open Profile, then select Show API Key to find the connection credentials. If no API key appears, contact your Intapp representative.

  3. In Grata, open your account menu and select Connections.

  4. Select Company Syncing.

  5. Under DealCloud, select Connect.

  6. Enter your DealCloud Base URL, Client ID, and API Key in the connection form.

Continue with Configure CRM syncing to select the fields and preferences for your integration.

Configure CRM syncing

Select matching preferences

Use Pull info from my CRM to let Grata check for company matches. This supports CRM filters in Grata.

Leave this setting on. If you turn it off, Grata sends data to the CRM but cannot index company matches from it. This can slow syncs.

Grata checks for matches weekly. If you have access to Auto-Update, you can select a daily or monthly frequency.

Select automatic updates

Use Auto-Update Companies & Contacts in my CRM to run automatic enrichment.

Option

Records updated

Enrich All Companies

All CRM company records that Grata can match, including records added from other sources. This option uses more credits.

Only Update Synced Companies

Only companies you previously synced from Grata.

Grata enriches CRM data weekly by default. If you have access to Auto-Update, select the blue calendar icon to change Auto-Update Frequency.

Automatic company updates follow your saved Company Mapping and Replace settings. Review these settings before you enable updates.

Map company fields

Use Company Mapping to select which CRM fields receive Grata data. An asterisk (*) identifies a required mapping.

Name and Company Domain are required. Select the corresponding DealCloud fields.

All other company mappings are optional. If you do not map a Grata field, Grata does not send data to the corresponding CRM field.

See the Company fields and supported DealCloud types section in this guide. For field descriptions, see Grata Field Definitions.

Set Replace for company fields

Replace ON

  • Grata replaces existing values.

  • Grata fills blank values.

Replace OFF

  • Grata leaves the field unchanged on an existing matching company record, even when it is blank.

  • Grata populates the field when it creates a new company record.

Configure Static Mappings

Use Static Mappings to send a fixed value to a CRM field each time a company syncs.

For example, set Type to Operating Company in DealCloud.

Map contact fields

Use Contact Mapping to select which CRM contact fields receive Grata data.

Contact Name is required. Map it to Contact Full Name in DealCloud.

Use the optional Job Titles filter to select the titles you want to sync. Contacts that do not match the selected titles are excluded.

See the Contact fields and supported DealCloud types section in this guide.

Set Replace for contact fields

Use the contact field toggles to control existing contact values.

Replace ON

  • Grata replaces existing values in the field.

Replace OFF

  • Grata keeps existing values in the field.

  • Grata fills the field when it is blank.

If you select Do not write a value, Grata does not send data to that contact field.

Change DealCloud mappings

  1. Open Connections → Company Syncing.

  2. Open your connected DealCloud integration.

  3. Select Edit your preferences and mappings.

  4. Update the mappings you need to change.

Select CRM Intel fields

Use CRM Intel to display up to 25 selected CRM fields in Grata. Use the search box to find a field, then select its checkbox.

CRM Intel fields are read-only. They appear in supported Grata views, including company search, company profiles, conference pages, buyer search, and banker search.

After CRM Intel is enabled, all users in your Grata account can view the selected fields. If a company profile shows old CRM data, select Sync to refresh it.

On a company profile, use View in CRM to open the matching CRM record.

If you remove a CRM Intel field from the mapping, Grata removes it from the company profile and from filters and saved searches that use it.

Filter companies by CRM Intel fields

Use CRM Intel filters to search for companies with the DealCloud field values you need.

You can filter by number, date, dropdown or choice, currency, and boolean fields. Text fields cannot be used as CRM Intel filters.

CRM Intel pulls data from the Account or Company object. It does not pull data from contact or deal objects.

Show and sort CRM Intel columns

  1. Open a company results table in Grata.

  2. Open Table Settings.

  3. Turn on the CRM Intel columns you want to display. Turn off columns you do not need.

  4. Drag columns to change their order, or pin columns in Table Settings.

  5. Use the arrows beside a column header to sort its values in ascending or descending order.

View CRM Intel data in the Chrome extension

In the Grata Chrome extension, select My Data to view CRM Intel data.

CRM Intel refresh timing

CRM Intel data refreshes hourly. This refresh is separate from company matching and automatic enrichment.

When you select an existing field in the mapping screen, its field and value appear immediately in Grata.

When you create a new field in DealCloud, the field appears immediately in the mapping screen and company profile. Its value can take up to one hour to appear.

When you change a field value in DealCloud, the updated value can take up to one hour to appear in Grata.

Sync and check DealCloud records

Sync one company

  1. Open the company profile in Grata.

  2. Select the company sync control.

  3. Select whether to sync the company only or the company and its contacts.

  4. Complete the sync.

  5. Open the record in your CRM. Check the mapped fields.

Sync selected companies

  1. Open a Grata list or company search.

  2. Select the checkboxes for the companies you want to sync.

  3. Select Sync.

  4. Complete the sync.

  5. Open the affected CRM records and check the mapped data.

If you select no company checkboxes, Sync applies to all companies in the list or search. Select the companies first if you want to sync only part of the results.

Start the sync from a Grata list to send the Lists(s) value to the CRM.

Company matching

Before syncing a company, Grata checks for a matching Website value. It recognizes domain formats such as amazon.com and http://www.amazon.com as a match.

Before creating a contact, Grata checks the first and last name, then checks the email address for a match.

Credits

A first company sync uses one credit. The number of mapped fields or contacts does not change that charge. Later syncs of the same company use zero credits.

You can export a previously synced company to Excel without additional credits.

For CRM actions through Grata MCP, use the method-specific guidance in Using Grata's MCP Server.

Audit Log

Only organization administrators can view the Audit Log. Go to Accounts → Audit Log to see the companies synced, credits used, and user who completed the sync.

Contact Grata Support for additional details, such as the number of contacts synced.

DealCloud data privacy and disconnection

Grata ingests only the CRM data you authorize it to access. Stored CRM data is encrypted with AES-256. Data sent between systems is encrypted with SSL/TLS 1.2.

Grata does not share your CRM data with other customers or use it to inform other Grata company profiles.

Grata retains associated CRM data while the connection is active. If you revoke authentication or disconnect the integration, Grata permanently deletes the associated CRM data.

To disconnect DealCloud:

  1. Open Connections → Company Syncing.

  2. Open the three-dot menu on the DealCloud tile.

  3. Select Disconnect DealCloud from Grata.

Grata immediately removes the stored connection credentials.

For more information, see the Integrations and Data Privacy FAQ.
