Establish the Connection
Go to the Account page
Scroll down to Integrations and select Salesforce
A login portal will appear
Enter your username and password from Salesforce
Salesforce will ask for approval— scroll down to approve the connection
If this portal does not appear, it may because you are already logged in to Salesforce within the same browser session
Contact our support team if you have trouble connecting.

Company Mapping
Company Mapping is where you decide which Account fields are populated during a sync from Grata. Company Domain must be mapped to Website. It cannot be mapped to a custom field (such as Grata Custom Domain) or syncs will fail.

All mappings besides Name & Website are optional. If you choose not to map to a corresponding Salesforce field, Grata won't ever send data to that field.
Replace Toggles
Replace ON (blue)
Grata will override that field, including any companies in Salesforce that already have data in that field.
Grata will populate blanks in that field.
Replace OFF (gray)
Grata will not update the value for matching companies in Salesforce— regardless of whether the field is blank, or already has data in it.
Grata will not populate data for blanks.
Grata will populate the field only while it is creating a new company in CRM.
Static Mappings
This setting makes it so that Salesforce is populated with a fixed, predefined value for a certain field, each time a company is synced — regardless of the specific data that is on the Grata profile.
For example, set Engagement Status equal to "Not started" — so that all newly added companies to your Salesforce begin in Not Started.
Record Types
Before you dive into Company Mapping, select which Account Record Type(s) will be synced with Salesforce.
As an admin, if your team has multiple seats in Grata, this selection controls which Record Types are available to non-admin users when they sync. When a non-admin clicks sync, only the Record Types selected here will be shown to them as an option.
What if a company already exists in Salesforce under a different Record Type?
If a user syncs a company that already exists in Salesforce — but the type from Grata is different from the type in Salesforce— Grata creates a new, separate record in Salesforce.
If a user syncs a company that already exists in Salesforce — and it has the same Record Type coming from Grata — Grata updates the existing record in Salesforce.

Contact Mapping
Contact Mapping is the step where you decide which Salesforce contact data gets populated any time Companies & Contacts are synced.

Job Title Filtering
There is an optional step to filter Job Titles for contacts. By selecting specific titles, you can filter out unwanted contacts from flowing to your Salesforce.
Syncing to Leads
As an alternative to Accounts & Contacts, you can make Grata sync to the Lead object in Salesforce. Change the Records to Sync dropdown in Step 1.
Grata will push both the firmographic information and contact information for that company onto a single record — a Lead — in one clean sync.
Is CRM Intel supported for Leads?
Yes, the CRM Intel feature is also supported for Leads!
Will Grata still recognize matches once Leads have been converted to Accounts in my Salesforce?
Yes. Even after a Lead is converted to Account in Salesforce, Grata will still recognize that company as a match.
Pull info from my CRM into Grata
Before you setting the fields you would like Grata to populate when syncing, select your CRM preferences.
Pull info from my CRM is the feature that allows Grata to check for matches in your Salesforce. This feature is the driver behind filters such as Show my companies, where you can filter down Grata profiles to ones that match your CRM.
Can I turn this off?
Yes, you can turn this setting off. This would make Grata a one-way integration. However, it is recommended to leave this feature on, as Grata will be "blind" to your CRM, which means it cannot index company matches— thus slowing down syncs.
How often does Grata check for matches?
Grata refreshes weekly. If you have access to the Auto-Update feature, you can set this to run daily, or monthly.
Auto-Update Companies & Contacts in my CRM
This feature runs automatic data enrichment. When it comes to deciding which Salesforce data gets overwritten, Grata follows the Company Mapping you saved.
Enrich All Companies
Grata enriches all Salesforce records it finds a match with. This also includes companies added to Salesforce from sources other than Grata. Note: this option will consume more credits.
Only Update Synced Companies
Grata enriches only companies you have synced from Grata before.
How often does Grata enrich data?
By default, Grata enriches Salesforce weekly. If you have access to Auto-Update, you can change the Auto-Update Frequency by clicking on the blue calendar icon.
How do I prevent my data being overwritten?
Data is controlled at the field-by-field level; only fields where the Replace toggle is ON will be overwritten (see: Company Mapping). This means Grata can overwrite your Employee Headcount field, while never touching your Priority field.
CRM Intel
CRM Intel is the feature allowing you to display Salesforce-specific data on your views in Grata. Press check next to any of the Salesforce fields that would be appropriate. You can use the search box to find the field.
CRM Intel fields are accessible in multiple areas of the Grata platform: Company Search, Conference Pages, Buyer Search, Banker Search, and more. Fields are read-only.
Grata checks for updates in Salesforce on a scheduled basis. If a Grata profile is displaying outdated information from Salesforce, click Sync to have it refresh.
Note: once CRM Intel is enabled, all your Grata seats can view the Salesforce fields.
FAQ
Does Grata share my Salesforce data?
No. The connection is a secure data pipeline between your Grata instance and CRM— existing solely to benefit your search experience. Grata has its own proprietary data, and will not use your CRM data for any other purpose in the platform.

How does Grata prevent duplicates?
Grata knows to avoid creating duplicate companies. Before syncing, Grata will check for a matching Website. Grata recognizes a match regardless of whether the company is spelled amazon.com or http://www.amazon.com in your CRM.
Grata knows to avoid creating duplicate contacts, as well. It will check for First Name + Last Name of the person. It then checks for a match to the person's email.
How do credits work?
Each Grata profile sync equals 1 credit. The amount of data fields mapped— or the amount of contacts on the profile— do not factor into the credit calculation.
Once a company has been synced— after the first time— any sync thereafter of that company uses zero credits.
Can I test in a sandbox first?
Absolutely! You may test syncing to a Salesforce sandbox before opening up the syncing feature to all users. Please contact your Grata representative to get started.
How do I disconnect?
If you need to disconnect Grata from Salesforce, you can do so from the Account page. Click the three dots under the Salesforce tile, then choose Disconnect Salesforce from Grata. Stored credentials are immediately wiped.
I ran into an error while syncing. What should I do?

Where can I see my syncing history & credit usage?
To see logs on how many companies were synced, how many credits were used, and by whom, go to Accounts > Audit Log. For detailed information, such as how many contacts were synced, reach out to Grata Support.
